Who is responsible
"Artificial Intelligence" SRL, str. V.Lupu 5 / 19, Orhei, Moldova, operates Colossi. Privacy contact: info@colossi.md. We are the controller for website, account, billing and enquiry data, under Moldovan Law No. 195/2024 and GDPR where applicable. For personal data customers enter into their accounting records, they determine the purposes and we act as processor under a data processing agreement; direct related requests to that customer.
Data and purposes
We process contact and account details, billing information, correspondence, and technical access data (such as IP address, browser and access logs), supplied by you, your organisation or your use of the service. We use these to provide the service and respond to requests (contract or pre-contract steps); administer business contacts, support and security (legitimate interests in operating and protecting Colossi); and meet accounting and other legal obligations. Optional marketing requires consent. Required account and billing details are necessary to provide the service; optional details are voluntary.
Storage and access
Our servers are in Moldova. Hosted accounting data is stored and processed in Moldova; optional external AI connections may transmit data abroad as described below. Access is limited to authorised staff and contracted hosting, maintenance and support providers as necessary, and authorities where legally required. We do not sell personal data.
Retention
We retain personal data for up to 10 years from collection, deleting or anonymising it sooner when no longer necessary or when a valid erasure request applies. Any longer retention requires a legal obligation. Customer accounting data is handled under the customer agreement and applicable retention obligations, including deletion from backups.
Cookies and automated decisions
The Colossi presentation website does not use cookies. The accounting platform uses only a strictly necessary authentication cookie to keep you signed in and provide access to your account. It is not used for advertising or analytics. Blocking this cookie may prevent sign-in or access to authenticated features. Fonts are hosted locally, so loading them does not contact Google. We do not make solely automated decisions producing legal or similarly significant effects about you.
Optional external AI chats
Colossi allows connections to external AI chats, disabled by default for every user. If you choose to enable and use a connection, you instruct Colossi to transmit the messages and data shared through that chat to the selected AI provider. Its servers may be outside Moldova, and its privacy policy governs its processing. Share only data you are authorised to disclose. Enabling the feature does not itself establish a lawful basis for sharing other people's personal data or replace applicable international-transfer safeguards; where consent is required, it must be obtained separately and explicitly.
Your rights
Where applicable, you may request access, correction, deletion, restriction or portability, and object to processing based on legitimate interests or to direct marketing. You may withdraw consent at any time without affecting earlier lawful processing. Contact us above; we normally respond within one month, with any lawful extension explained. You may complain to Moldova’s CNPDCP (datepersonale.md), or the competent EU supervisory authority where GDPR applies. Material changes will be notified before new processing begins.
